The following checklist will help us fully prepare for your event

Date, Time & Venue
Changes to any of these features can have a huge impact on overall success of an event


Presenter Titles & Order
So we can accurately prepare, we need confirmed spelling of presenters names and the order in which they will speak.


AV & Staging Specifics
To ensure we have the correct equipment available we need to know exactly what is required. Some stage planning may benefit from a site audit. Leave this process to our knowledgeable team.


A Signed Agreement
In order to comply with standard business practice, a signed agreement needs to be submitted to Integrated Streaming prior to the commencement of an event.


Every Event is Different
We treat every event as a first time event. We will contact you to confirm all details.

WEBCAST

Finalise Interface Design
So that your branding is presented accurately, email acceptance of all design work is appreciated.

Connectivity
For live broadcast and on demand uploading we require 2 broadband internet connections. A static IP address is preferred.


Access

To ensure everything is ready for the scheduled start time, we need access to venues 4 hours prior. Any less than this can compromise delivery.


Slide Preparation
Slides should be set for "on screen show" 4:3. Slide builds are permissible however should be used in moderation. The best font for webcast viewing is Verdana, 12pt minimum. Embedded videos are not supported - it is better to switch to a DVD for playback of videos.


Laptop Settings
The resolution should be set to 1024 x 768 pixels. The screen saver, hibernate and lockout modes should be disabled before being used in a presentation. We can supply "show ready" laptops to eliminate any risk.


Slide Printout
For reference a printed copy of the slides is helpful. Black and white, 6 to a page is sufficient.

GENERAL

Always Ask
Don't be afraid to ask or check a detail with us. We understand our service is very specialised and we don't expect our clients to know everything. Our aim is to help you conduct a successful event.

FTP
The best way to send files to us is via FTP. Using an FTP program like Filezilla (download here free) you can log into our server and easily transfer files. Contact us for log in details.


Slides for Vodcasts
The most important thing to be aware of when slides are used for a vodcast is that they will be "squashed" to be displayed on a small screen. We recommend creating a tailored slide pack for vodcast use. Keep text as big as possible, bold and black. Keep colours in general to a minimum and try to present chart data as text.


Slides for DVD
DVD video is not designed to display graphics like presentation slides. However good results are possible if text is kept large, black and bold. Verdana is a good "on screen" font. Bright colours are best for other slide content. A tailored slide pack is recommended for DVD use

Glossary of Terms

A - M

Bit
A binary digit, either 1 or 0. Data is transferred in groups of bits called bytes.


Byte
A byte is made up of 8 bits of binary digit.

CDN - Content Distribution Network
A network of servers that efficiently distribute content around the world.

Data rate
The amount of data being sent in 1 second. For streaming it is usually measured in kbps(Kilobits per second). Typically, the higher the data rate, the higher the quality. Higher data rates will also result in bigger file sizes.


FTP - File Transfer Protocol
A method of sending data between computers. A good way of getting past email size restrictions.

GB - Gigabyte
1GB = 1024 MB's.

Hybrid
Allows audio from microphones to be sent down telephone lines. Essential for events with teleconferences


IP Address
AN IP address is a way of identifying computers on a network.


ISDN line
A type of digital line designed for video conferences. Each line sends 128kbps of data but can be added together to increase data sent. 2 x ISDN lines send 256kbps.


kbps - Kilo bits per second
A measure of data transfer.


KB - Kilobyte
1KB = 1024 bytes.

MB - Megabyte
1MB = 1024 KB's.

 

 

N - Z

Podcasts
An audio file that is automatically downloaded once an end user has "subscribed", using a program like iTunes.

Router
A piece of networking equipment that directs data from one computer to another based on IP addresses. Routers can be configured to not pass certain types of data, like that associated with streaming.


RSS - Really Simple Syndication
A web feed format used to update frequently published content. Programs like iTunes allow you to subscribe to podcasts using RSS.

SDSL
A broadband connection where the download and upload speeds are the same.

Streaming
Audiovisual content delivered from a server to a computer. Streaming is analogous to standard TV. The information flow is one way and when you stop the stream (turn the TV off) there is no copy of the audiovisual content left on the viewing computer. Other methods of delivery are download and progressive download.

TCP
A data transfer protocol where the server sending information makes sure the computer meant to get the information has received it before sending the next bit.


UDP
A data transfer protocol where the server sends data without checking if the computer meant to receive the data gets it.


Vodcasts
A file of audio and graphics, automatically downloaded once an end user has "subscribed" using a program like iTunes. There are 2 types of vodcast, standard and enhanced.

Webcasts
Audio and/or video streamed in an interface, often including synchronised slides or other content.
